The short answer: bexio is a mature Swiss all-in-one solution for SMEs — what gets praised above all is the simple handling, the banking connection and the broad ecosystem, while the recurring criticism flares up around support, price increases and feature gating (the most interesting receipt features only arrive with the Optima plan). On the public review platforms the picture comes out mixed to critical — at the time of our research around 2.7 / 5 on Trustpilot and 2.2 / 5 on Capterra (as of August 2026 — scores change) —, although such portals are known to attract an above-average share of dissatisfied voices. What experiences do people have with bexio?

That depends on whom you ask — and where: bexio is one of the most-used business tools for Swiss SMEs, and many users stay satisfied for years. On the review portals the picture reads more critically: at the time of our research around 2.7 / 5 on Trustpilot and around 2.2 / 5 on Capterra (as of August 2026 — check for yourself on the day you read this, the values fluctuate).

These numbers are honest, but they need context. Review platforms are not a representative cross-section: satisfied customers rarely write a review, annoyed ones do. So a low portal score does not mean the majority of bexio customers are dissatisfied — only that the loudest voices are critical. More meaningful than the star count are therefore the recurring themes, and those can be named clearly across several platforms.

What are the strengths of bexio?

Let us start with what bexio demonstrably does well — because that is the reason so many SMEs stay:

  • Swiss all-in-one for SMEs. Quotes, invoices, accounting, VAT, payroll and banking in one tool, tailored to Swiss conditions (QR invoice, VAT rates, ISO 20022 banking). For most small companies that replaces several separate programs.
  • Simple, uncluttered handling. The point most often praised in the reviews is the low barrier to entry — even without accounting training you get to a clean invoice quickly.
  • Strong banking connection. The link to the Swiss banks and the automatic payment reconciliation save noticeable time in everyday work.
  • Large ecosystem. The bexio marketplace, open interfaces and the connection to fiduciaries make bexio a hub, not an island solution.

In short: for freelancers and small SMEs looking for an uncomplicated, Swiss-ready complete solution, bexio is an obvious and, for many, a good choice. The question is not whether bexio works — but where the limits and the follow-up costs lie.

What are the weaknesses of bexio?

A few points of criticism repeat across the platforms. We report them as what they are — recurring themes in the reviews, not our own measurements:

  • Support. By far the most frequent criticism concerns the reachability and response time of customer service, especially in intense phases such as the annual close (example criticism, not a quote).

  • Feature gating. What can be documented concretely: the central receipt features — document archive, full-text search, GeBüV filing (GeBüV = the Swiss Ordinance on the Keeping and Preservation of Business Records) — are only available from Optima upwards (more on that in a moment in the section on hidden costs).
  • Limits with complex accounting. For more demanding cases — multi-level cost accounting, foreign currencies on a larger scale, special industry logic — some users hit limits and move to more comprehensive ERP or accounting solutions.

None of these points makes bexio bad software. They draw the realistic picture: a strong tool for the standard case, with friction around support, around price and as soon as it comes to your documents.

What hidden costs does bexio have?

This is the one area where we are genuinely at home — and where the criticism can be translated into documented numbers. Three costs are not on the pricing page but hit you exactly when it comes to your receipts:

  1. The interesting receipt features cost an upgrade. Document archive, OCR full-text search and GeBüV filing exist only in the Optima (CHF 69) and Ultimate (CHF 119) plans; in Basic and Advanced the plan comparison simply shows «–». If you upgrade only for these features, you pay around CHF 324 to 408 more per year depending on your starting plan — and buy a whole plan for a single feature.   2. The full export costs extra. Even with the archive there is no export at the push of a button: individual documents you download yourself, the full export of the document archive costs a flat CHF 450 via bexio support (service description). These CHF 450 are documented for the full export of the document archive only — not as a general export tariff.   3. After the cancellation the data is deleted. When the contract ends, GTC clause 5.7 gives you one month to request the release of your data; after that bexio irrevocably deletes all customer data. For the document archive the period is 30 days. Your ten years of receipts are therefore only secured for as long as the subscription runs — unless you keep a copy yourself.

bexio recommends exactly that itself, by the way: «We generally recommend keeping the receipts additionally outside of bexio» (help article 000001647). Advice that carries weight coming from a provider whose contract provides for deletion.

Is bexio worth the money?

For many SMEs: yes. If you want an uncomplicated Swiss complete solution and the limits named above do not affect your everyday work, you get a solid, mature tool at a comprehensible price. Factor in the support criticism and ask yourself soberly, when it comes to the plan, whether you really need Optima or only a single feature from it — our plan guidance helps with that.

One point remains, however, independently of your verdict on bexio — and it is the reason we work on this topic: your documents should not be locked inside someone else’s software. Whether you think bexio is great or are flirting with a switch: ten years of receipts that only exist for as long as a subscription runs are an easily removable risk.

You do not have to leave bexio for that. A mirror into your own Google Drive loads the entire history and then keeps the folder continuously up to date — inbox receipts, invoice PDFs, everything searchable through Google’s OCR search (how the connection works). The difference is structural: the folder belongs to you. If you ever cancel bexio, your receipts are long since out — and the full-text search bexio only charges for from Optima upwards you get on every plan.

On the retention obligation: Google Drive meets the technical requirements for filing digital receipts in an audit-proof manner and compliant with the CO, the GeBüV and tax law.
