The short answer: None of the three is «the best» — it depends on budget, company size and requirements. bexio is the paid Swiss all-in-one for growing SMEs that work in an integrated way (quotes, bookkeeping, banking, payroll) and closely together with their fiduciary. klara offers a free entry level with a broad ecosystem that reaches beyond pure bookkeeping (payroll, point of sale) — good if you want to start for free. swiss21 is a free basic suite (including AbaNinja) for micro businesses with simple needs. Roughly: budget 0 and very small → swiss21 or klara; growing SME with requirements that pays for them → bexio.

Transparency first: quintio is our own product — but not accounting software and therefore not a fourth candidate in this comparison. All it does is mirror your documents from bexio into your own Google Drive. Because we only have something to offer if your choice falls on bexio, we deliberately keep this three-way comparison at category level and fair — every tool wins and loses rows. The short, honest document note sits right at the end, with a limit of its own.

How we compared: We stay at category level — positioning, pricing model and typical suitability, not every single feature, because the detailed scope keeps changing. For bexio we name the published plan prices (as of August 2026); for klara and swiss21 we deliberately stay with the model instead of asserting volatile figures. Officially the providers write themselves KLARA and Swiss21; in the text we follow the common lower-case spelling. There is no affiliate relationship with any of the three.

bexio, klara and swiss21 — what sets them apart?

All three are Swiss solutions for the administration of small companies — but they start in different places. bexio sells one consistently integrated, paid overall package. klara draws users in with a free entry level and earns from the surrounding ecosystem. swiss21 bundles several free basic apps for the start. The matrix below shows where each tool is strong — and where it is not:

Comparison matrix of bexio, klara and swiss21 across five dimensions: only klara and swiss21 have a free entry level, bexio has the largest all-in-one scope, klara and swiss21 suit micro businesses, growing SMEs are served above all by bexio, a broad ecosystem is offered by bexio and klara — every tool wins and loses rows, none is ahead everywhere No tool wins every row: bexio leads on scope and growth, the two free solutions on the entry level and with the smallest companies.

As a prose overview, with the main caveat for each in the last column:

Tool Best for Entry price (as of August 2026) Limits
bexio Growing SMEs that work in an integrated way and together with their fiduciary Paid from CHF 35/mo. (Basic, annual billing) No free tier; document archive/OCR only from Optima; less suited to very complex bookkeeping
klara Companies that want to start for free and want a broad ecosystem (payroll, insurance) Free entry level Add-on modules cost extra; more a platform/ecosystem than a deeply integrated single product
swiss21 Micro businesses with simple needs (invoicing, simple bookkeeping) Free basic suite Usage limits of the free tier; quickly too tight for growing SMEs

We now explain the figures and the limits tool by tool — following the same pattern.

bexio: the paid all-in-one

Best for: growing Swiss SMEs that want an integrated solution from the quote to the booked payment and pay for it.

Strengths: a mature, tidy all-in-one (quotes, invoices, bookkeeping, banking, payroll) under one roof; strong banking connection; large ecosystem and marketplace; the most widely used connection in the Swiss fiduciary environment.

Limits: paid throughout — no free tier, only a time-limited trial phase. Some receipt features are tied to the plan: the document archive with OCR full-text search is only available from Optima (details and costs). For very complex or international bookkeeping, bexio reaches its limits sooner than specialised systems do.

Pricing model (as of August 2026): paid subscription in four plans — Basic CHF 35, Advanced CHF 42, Optima CHF 69, Ultimate CHF 119 per month with annual billing (CHF 10 more each with monthly billing). Which plan fits what is in the plan guide.

Choose bexio if you want an integrated all-in-one, work together with your fiduciary and are willing to pay for it from day one.

klara: the free entry level with a broad ecosystem

Best for: SMEs and self-employed people who want to start for free and use more than pure bookkeeping under one roof.

Strengths: a free entry level instead of a subscription hurdle; a broad ecosystem that reaches beyond bookkeeping — from payroll processing through to insurance and other business services; Swiss provider.

Limits: the ecosystem model also means that the value comes from paid add-on modules and connected partner services. In depth, klara is more a broad platform than a single product as tightly integrated as bexio.

Pricing model (as of August 2026): free entry level — basic functions such as invoicing and receipt capture are free — and above that paid add-on modules and services (such as bookkeeping, payroll or point of sale).

Choose klara if you want to get going without initial costs and a broad ecosystem including payroll and point of sale appeals to you.

swiss21: the free basic suite for micro businesses

Best for: micro businesses and new companies looking for free basic equipment for invoicing and simple bookkeeping.

Strengths: a free basic suite that bundles several apps — including AbaNinja for invoicing; a very low entry hurdle; from the established ABACUS environment.

Limits: the free tier is limited in volume and in functionality; for more receipts or more functions it becomes chargeable. For a growing company with rising complexity the basic suite becomes too tight fairly quickly — and then a switch is due anyway.

Pricing model (as of August 2026): a free basis with usage limits (for documents and users, among others), paid upgrades above that. The specific limits change — check them directly with the provider.

Choose swiss21 if you are a micro business, want to invoice for free and book simply, and get along well with the limits of the free tier.

Which software is the right one for your SME?

The first and most important question is rarely the feature list, but your starting position: do you want to start for free — or invest in an integrated all-in-one?

Decision diagram by starting position: anyone who wants to start for free and is a micro business chooses swiss21 for the simplest basics or klara for a broader free ecosystem — anyone who as a growing SME wants to invest in an integrated all-in-one chooses bexio The first cut goes by budget and size: start for free with swiss21 or klara — or invest in bexio as the paid all-in-one.

  • Budget 0 and very small: start with a free solution. swiss21 for the simplest basics, klara if the broader ecosystem (payroll, insurance) appeals to you. You can always move later.
  • Growing SME with requirements: if you want to work in an integrated way, work together with your fiduciary and need a mature all-in-one, bexio is the obvious choice — even though it costs from day one.
  • Undecided? Test accounts are free. Set up your typical receipts in two candidates — how it feels to use often decides more than the feature list.

And your bexio documents? The ownership point

Whichever tool you choose: your receipts then sit in the provider’s software. That is usually convenient — until the day you switch or cancel. That applies equally to all three, and it is a question of ownership, not of bookkeeping.

Here comes the only point at which quintio enters the picture at all — and only if your choice falls on bexio. Then you can additionally mirror your receipts continuously into your own Google Drive: searchable via Google’s OCR, and the folder belongs to you, even if you leave bexio at some point (how that helps when switching as much as when staying). For klara or swiss21 that does not exist — there you would need another way to get your documents out of the system and secure them.

The honest limit: today quintio mirrors bexio documents exclusively (that is the MVP), it is not a bookkeeping tool and replaces none of the three — so no fourth candidate. bexio itself recommends the external copy too: «We generally recommend keeping the receipts additionally outside of bexio» (help article 000001647). How to get a bexio export is in the backup and export comparison.
