bexio is a Swiss cloud software for the administration of small and medium-sized enterprises (SMEs). It bundles the sales process from quote to invoice, accounting with a bank connection, payroll accounting and contact management (CRM) into a single online account that you reach in the browser — without a local installation. It is developed and operated by bexio AG, based in Rapperswil-Jona; since 2018 the company has belonged to the Mobiliar Group. In short, bexio is aimed at the self-employed and small businesses that want to handle sales, accounting and payroll in one place — often together with their fiduciary.
Transparency: quintio, which we mention briefly at the end, is our own product — not a bexio replacement, but a mirror that copies your receipts into your own Google Drive. This overview describes bexio neutrally.
What can bexio do? The modules at a glance
bexio is built modularly: several functional areas interlock, from the quote to the posted payment. The most important modules:
- Sales process — from the quote via order and delivery note to the invoice, including QR invoice and dunning; depending on the plan with inventory management.
- Expense management — recording, checking and posting supplier invoices and receipts.
- Accounting — double-entry bookkeeping, VAT returns and the usual financial reports; receipts can be assigned to the entries.
- Banking — the connection to your business bank so that payments and account movements are matched automatically.
- Payroll accounting — payroll for employees including salary certificates and the required declarations.
- Contact management (CRM) — one shared register of customers, suppliers and contacts that every module draws on.
Not every feature sits in every plan: automatic bank reconciliation, for example, only arrives with Advanced, inventory and project time tracking only with Optima — and so does the document archive. The exact split is in our overview of bexio prices and plans.

Who is bexio suitable for?
bexio is cut for small Swiss SMEs and the self-employed — for businesses, in other words, that keep standard books under the Swiss Code of Obligations (CO) and want to handle sales, finances and payroll without an IT department of their own. The interplay with the fiduciary is especially common: you record the receipts, your fiduciary works on the same data and takes over the annual accounts and the VAT return.
bexio fits less well if your bookkeeping deviates markedly from the standard — for instance with very complex or international accounting, with group structures and deep foreign-currency logic, or with highly specialised niche industry solutions that call for a dedicated ERP. That is not a verdict but a question of fit: bexio wants to keep the administration of a typical SME simple, not to model every special case.

What does bexio cost?
bexio is sold as a subscription in four plans, billed per month. Paying annually, in 2026 it costs CHF 35 (Basic), CHF 42 (Advanced), CHF 69 (Optima) and CHF 119 (Ultimate) per month, each excl. VAT; with monthly billing every plan is CHF 10/mo. more expensive (bexio plans & prices, as of August 2026 — best checked on the day you decide).
Roughly: Basic is enough for the self-employed with few receipts, Advanced comes into play as soon as automatic bank reconciliation or supplier invoices are needed, Optima pays off for companies that really use inventory, project time tracking, the document archive or more user permissions, and Ultimate targets larger teams. How are documents filed in bexio?
Because sales and accounting come together in bexio, all the receipts pile up there over time: incoming invoices and till receipts land in the inbox, outgoing invoices are created as PDFs in the system. A searchable archive with OCR full-text search — the document archive — is, however, only offered by bexio from the Optima plan up (what the archive does and what it costs).
One point that often gets lost in the overview: the documents belong to you only for as long as the contract runs. If you cancel bexio, the GTC (clause 5.7) leave you one month, then the data are deleted. That is why bexio itself recommends «keeping the receipts additionally outside of bexio» (help article 000001647).

What happens to my receipts if I cancel bexio? After cancellation the GTC (clause 5.7) leave you one month to request the data; after that they are deleted (the document archive after 30 days). A copy that stays with you only comes about if you secure the receipts out of bexio beforehand.
