What bexio costs in 2026, which plan you really need — and why the interesting receipt features only start at Optima and still stay inside bexio.

The short answer: in 2026 bexio costs CHF 35 (Basic), CHF 42 (Advanced), CHF 69 (Optima) and CHF 119 (Ultimate) per month with annual billing, each excl. VAT; with monthly billing every plan is CHF 10/mo. more expensive (bexio packages & prices, as of August 2026). In one sentence: Basic is enough for the self-employed with few receipts, Advanced as soon as you need automatic bank reconciliation or supplier invoices, Optima only once you really use stock, project times, the document archive, the OCR full-text search or the bulk export, Ultimate for larger teams with many users. The catch the pricing page doesn’t show: exactly the four most interesting receipt features — document archive, full-text search, GeBüV filing (the Swiss ordinance on the keeping and preservation of business records) and bulk export — only start at Optima. And even there your documents stay inside bexio and are deleted once you cancel.

What does bexio cost in 2026?

bexio bills in two ways: annual prepayment gets you the lower prices, monthly billing costs you CHF 10/mo. more per plan. All prices are excl. VAT (as of August 2026).

The exact feature boundaries are in the plan comparison PDF. For filing receipts only one boundary really matters — and it runs between Advanced and Optima.

Which bexio plan do I really need?

The honest rule of thumb: pay for the accounting features you use every day — not for a single feature you can get another way.

  • Basic (CHF 35) — for the self-employed and micro-businesses with a manageable volume of receipts, for one user: quotes, invoices, journal, balance sheet and VAT return. You can create bank accounts and QR payment slips, but automatic bank reconciliation isn’t in here yet — nor is stock, project time tracking or any receipt filing beyond plain bookkeeping.
  • Advanced (CHF 42) — the step up is worth it if you need automatic bank reconciliation including interfaces to more than 40 banks, post supplier invoices and accounts payable, or want to scan receipts with bexio Go (50 extractions/mo.). On top of that come a second user and payroll as an option. Advanced changes nothing about receipt filing: archive and full-text search are still missing.
  • Optima (CHF 69) — this is where stock management and project/time tracking arrive, five users — and, as the first plan, the document archive with OCR full-text search. Worth it if you actually use those features — not if you merely want to keep your receipts searchable and safe.
  • Ultimate (CHF 119) — 25 users, payroll and bexio Pay included instead of optional. For receipt filing it offers the same archive as Optima.

In short: the first three boundaries (bank reconciliation and accounts payable, stock and projects, team size) are genuine feature questions. The fourth — “do I want to search and own my receipts” — is the one where an upgrade often isn’t worth it.

What changed with the new bexio plans

Today’s plan world — Basic, Advanced, Optima, Ultimate — has applied since 1 March 2026. bexio automatically moved existing customers onto the plan that comes closest to their previous one (bexio help: new plans). The document archive launched on the same date (press release, 10 March 2026).

More important than the name is where the boundaries run today — and some of them run differently than you might assume:

  • Automatic bank reconciliation only starts at Advanced. In Basic you can create bank accounts and QR payment slips, but you can’t have open invoices reconciled overnight.
  • Stock management and project/time tracking only start at Optima, not at Advanced.
  • The document archive exists only in Optima and Ultimate.

So if your subscription is up for renewal soon, it pays to look at the plan comparison rather than at your memory: what matters is which of these features you actually use.

What the old plans used to cost

The bexio pricing page of 26 February 2026 — three days before the switch, archived in the Internet Archive — shows the earlier line-up. All amounts per month, excl. VAT. These are the regular list prices, not the new-customer promo being advertised at the time:

Two of the three transitions are unspectacular: Pro (CHF 65) → Optima (CHF 69) costs CHF 4 more per month and brings two extra users, Pro+ (CHF 115) → Ultimate (CHF 119) likewise CHF 4 at the same number of users.

The entry level is the interesting one. According to the same page, the old Starter at CHF 35 included e-banking, expenses, product management and receipt recognition in the app (5 extractions per month). The new Basic costs exactly the same — and includes none of that: no automatic bank reconciliation, no supplier invoices, no product management, no receipt scan. That feature set sits in Advanced (CHF 42) today.

So anyone who used Starter before faces one of two bills: CHF 7 more per month — CHF 84 a year — for the feature set they had, or the same price as before and fewer features for it.

What don’t I get below the Optima plan at bexio?

Four features around receipt filing are missing below Optima — that is, in Basic and Advanced. In the official plan comparison bexio lists the document archive as a row of its own, and for Basic and Advanced it simply says “–”; full-text search, GeBüV filing and bulk export hang off it because they are components of the archive. There is no standalone add-on:

  • Document archive — bexio’s audit-proof filing with tags and deletion suggestions, available since 1 March 2026. Optima and Ultimate only.
  • OCR full-text search — search across the content of the receipts (reliable up to about 20 pages per document, according to bexio help) instead of just file name and date. Optima and Ultimate only.
  • GeBüV filing (OriginVault) — the time-stamp technology of the Swiss partner OriginStamp for audit-proof retention. Optima and Ultimate only.
  • Bulk/full export — pulling out all documents in one bundle is likewise tied to the archive — and even there it isn’t self-service (more on that in a moment).

So anyone sitting on Basic or Advanced has neither a full-text search across receipt contents nor a bundled filing system. Is upgrading to Optima worth it just for the document archive?

In short: usually not. Anyone upgrading for the archive alone buys a whole plan for a single feature — and pays for it every year:

That adds up if you need the other Optima features anyway — then the archive is an included bonus. For the receipts alone it rarely pays off, for a second reason:

Because the Optima archive doesn’t solve the ownership problem. The documents still sit inside bexio, in the same contract as your bookkeeping. When the contract ends, so does access — for the document archive after a 30-day period followed by irrevocable deletion (for the rest of your customer data GTC clause 5.7 gives you one month). And there is no export at the push of a button even with the archive: individual documents you download yourself, the full export of the document archive costs a flat CHF 450 through bexio support.

When the upgrade to Optima is worth it — and when it isn’t:

  • Worth it: if you need the other Optima features (more users, further automation) anyway. Then the archive comes free on top.
  • Not worth it: if your only reason is receipt filing, full-text search or a cancellation-proof copy. You get that independently of the plan — see below.

bexio recommends this itself, incidentally: «We generally recommend keeping the receipts additionally outside of bexio» (help article 000001647). That is exactly the point no plan upgrade solves.

Keep bexio, own the documents — on any plan

Ownership of the receipts doesn’t depend on the plan. Whether Basic or Ultimate: as long as the documents sit only inside bexio, they are yours only for as long as the contract runs. A mirror into your own Google Drive turns that around — and works the same on every bexio plan, including Basic.

quintio connects to your bexio login, downloads the complete history (newest receipts first) and then keeps the Drive folder continuously up to date — inbox receipts, invoice PDFs, all searchable via Google’s built-in OCR search (how the connection works). The difference is structural: the folder belongs to you. If you cancel quintio, every receipt stays in your Google account. If you ever cancel bexio, your receipts have long been out.

That gives you the full-text search bexio only charges CHF 69 for from Optima onwards on any plan — plus a cancellation-proof copy on top. In the beta quintio costs CHF 19 per connected mandate per month, excl. VAT and cancellable monthly — including a complete backfill and with no volume limits. On the retention obligation: Google Drive meets the technical requirements for filing digital receipts in an audit-proof way and in compliance with the CO, the GeBüV and tax law. Is bank reconciliation included in the bexio Basic plan? No. In Basic you create bank accounts and QR payment slips, but the automatic reconciliation of open invoices and the interfaces to the e-banking of more than 40 banks only start at Advanced (CHF 42). That is one of the two points where Basic and Advanced really differ for day-to-day work — the other is recording supplier invoices.

What did bexio cost before the switch? Until the end of February 2026 there were three plans: Starter CHF 35, Pro CHF 65 and Pro+ CHF 115 per month with annual billing (excl. VAT). Pro became Optima (CHF 69), Pro+ became Ultimate (CHF 119) — CHF 4 more each. The old Starter feature set sits in Advanced (CHF 42) today, while the new Basic keeps the same price of CHF 35 but does without bank reconciliation, supplier invoices, product management and receipt scanning.

Were the bexio plans reorganised in 2026? Yes. Since 1 March 2026 the plans have been called Basic, Advanced, Optima and Ultimate; existing accounts were automatically moved to whichever plan fits. In the process, feature boundaries shifted as well — stock management and project time tracking now sit at Optima, automatic bank reconciliation at Advanced.

Is the document archive available as an add-on for Basic or Advanced? No (as of August 2026). In the official plan comparison it isn’t even listed as an option for Basic and Advanced — it is tied to Optima and Ultimate.

Is Optima worth it just for the document archive? Usually not: Basic → Optima costs +CHF 408 per year, Advanced → Optima +CHF 324. And the archive still sits inside bexio and is deleted once you cancel (30 days). If all you want is to search and secure receipts, a mirror into your own Drive is cheaper and exit-safe.

Can I make my bexio receipts searchable without Optima? Yes. Mirror the documents into your own Google Drive and Google’s OCR searches every receipt by its content — that works with every bexio plan, including Basic, entirely without an upgrade to Optima.

What happens to my documents if I cancel bexio? After the contract ends you have one month to request the handover; after that bexio irrevocably deletes the customer data (for the document archive after 30 days). A copy that stays with you only comes about if you secure the receipts beforehand.
