bexio Document Archive Review: What It Does, Where It Ends (2026)
The bexio document archive in an independent review: GeBüV-compliant storage with timestamps and full-text search — but only in Optima/Ultimate, with no export and no backup effect. The fiduciary's assessment.

What is the bexio document archive — and is it any good? The document archive is bexio’s GeBüV-compliant storage with OCR full-text search and timestamp technology («OriginVault» by OriginStamp), available since 1 March 2026 — included only in the Optima (CHF 69/mo.) and Ultimate (CHF 119/mo.) plans. It is a real step forward for filing inside bexio — and that is exactly where it ends: no sync into a filing system of your own, a full export only as a support service for CHF 450, and irrevocable deletion 30 days after the contract ends. The review from a fiduciary’s perspective: what the archive does, where it ends, and how to close the gap.

What the document archive can do
bexio has addressed one of its oldest customer requests with this — the most-requested ideas-portal entry from 2018 asked for exactly that: the receipts finally in order, in one place. According to the product page, press release and help centre, the archive offers:
- GeBüV-compliant, audit-proof storage with the timestamp technology «OriginVault» by the Swiss partner OriginStamp AG — what the GeBüV actually requires
- OCR full-text search (per bexio’s help, reliable up to about 20 pages per document) plus tags for organisation
- Permission management and automatic deletion suggestions after the retention period; activation by the super admin
- Fiduciaries assigned in bexio get access automatically
For companies on Optima/Ultimate with formal archiving requirements, that is a genuine improvement — honest credit first.
Two limitations are named by bexio itself: the service description guarantees GeBüV compliance «exclusively for documents stored directly in the document archive from 1 March 2026» — for everything before that, the burden of proof stays with you. And there is no state GeBüV certification; «GeBüV-compliant» is a property of the overall system of storage plus orderly use, not a product feature.
Where the archive ends — the four limits

1. Optima and Ultimate only. In the official plan comparison, Basic (CHF 35) and Advanced (CHF 42) simply show «–»; there is no individual add-on. If you upgrade only for the archive, you pay +CHF 324 to 408 per year — the maths and the alternatives for Basic/Advanced.
2. The documents never leave bexio. No export to Google Drive or OneDrive, no sync into a filing system you own. Individual documents you download yourself; the full export costs a flat CHF 450 via bexio support (service description, section «Data export») — all export routes compared.
3. An archive is not a backup. Archive and bookkeeping sit with the same provider, in the same contract. When the contract ends, access ends — for the document archive with a 30-day period and irrevocable deletion. Your 10-year retention obligation keeps running regardless of any software subscription. bexio itself recommends keeping receipts «additionally outside of bexio» (help article 000001647).
4. External parties stay locked out. The assigned fiduciary gets access — sharing with the bank, the insurer or an external auditor still means: log in, search, download, e-mail.
Who is the archive enough for — and who needs more?

- The archive is enough if you are on Optima/Ultimate anyway, your needs live inside bexio (searching, organising, managing retention periods) and you do not foresee switching providers.
- You need more if any of these applies: you are on Basic/Advanced and do not want to switch plans for one feature; you want a second copy that survives a cancellation; you want to share receipts with external parties via a simple folder share; you do not want to face the CHF 450 export when switching providers.

Audit-proof storage moreover never comes from a product alone but from a system plus orderly use — a state GeBüV certification does not exist.
Which bexio plans include the document archive?
Only Optima (CHF 69/mo.) and Ultimate (CHF 119/mo.), annual billing. Basic and Advanced have neither archive nor full-text search; an individual add-on does not exist (as of July 2026) — the alternatives for Basic/Advanced.
Does the document archive replace a backup of my receipts?
No. Archive and bookkeeping sit with the same provider in the same contract; after the contract ends, the archive is irrevocably deleted after 30 days. For a copy outside of bexio you need individual downloads, the support full export (CHF 450) or an automatic mirror into your own filing system.
Does the document archive make it easier to get my receipts out of bexio?
No. The archive improves search and order inside bexio. For export it stays individual downloads; the full export is a paid support service — all export options.
